Position Status: Full-time, non-exempt

Hiring Range: $31,000 - $34,000

Reports to: Office Manager

SUMMARY OF POSITION:

 

We are currently searching for an Administrative Assistant with excellent customer service skills.  This person will need to have a cheerful disposition as the organization’s first official contact. The ability to work in a fast-paced environment with attention to detail is essential. The Administrative Assistant’s most important role is to courteously and efficiently answer, screen, direct and handle phone calls. The next priority is greeting guests, participants and staff in a friendly and professional manner while taking a trauma-informed approach. The Administrative Assistant will be fully engaged and busy from the first day and we guarantee there will never be a dull moment!

 

ESSENTIAL RESPONSIBILITIES:

  • Maintain a Professional Learning Community at all times.
  • Deliver excellent customer service to participants, community members, and partners.
  • Manage all activities at front desk, including phone calls, in-person guests, participant inquiries, and administrative activities.
  • Maintain CWEE Calendar; send weekly overview to All-Staff at the start of each week.
  • Assist with managing CWEE’s First Impressions clothing and accessories boutique.
  • Order office supplies and track inventory.
  • Run errands efficiently on behalf of the operations team and as needed.
  • Work across departments on special projects.
  • Assist staff in setting up meeting rooms; including ordering food and supplies.
  • Set up participant breakroom each morning with a light breakfast and snacks.
  • Ensure staff and participant break rooms are clean and maintained.
  • Play lead role in supporting volunteer opportunities.

 

JOB QUALIFICATIONS:

  • Two (2) years of experience in an administrative role or similar work experience, preferred.
  • Driver’s license, reliable vehicle and willingness to run scheduled errands.
  • Must be able to lift at least 20 pounds, occasionally move office furniture and sit for prolonged periods of time.
  • Ability to work in an inclusive environment with diverse, economically disadvantaged populations.
  • Commitment to maintaining confidentiality and setting appropriate boundaries in sensitive situations.
  • Ability to handle multi-line phone system.
  • Ability to model professional dress and workplace conduct.
  • Proficiency in Microsoft Office applications and internet.
  • Knowledge of office equipment, machinery and computer technology.
  • Excellent communication skills both verbal and written.
  • Must enjoy being around people, but also enjoy working independently.
  • Ability to prioritize projects and ask for support when needed.
