Title: Program Assistant - Operations

Position Status: Full-time, Non-Exempt

Salary Range: $35,000 - $38,000

Benefits: Full benefits including three weeks of vacation, paid health days, paid family leave, retirement, health insurance, and more.

Reports to:  Director of Operations

We are advocates on many levels - from our work on poverty and education issues to our core program and services - we work tirelessly on behalf of those we serve. CWEE's holistic model is comprised of three key phases - preparing for employment, finding employment, and keeping employment.

 

SUMMARY OF POSITION:

The Program Assistant works across the agency to support all teams in delivering services to low-income parents who are preparing to enter the workforce and transitioning from welfare to work. This position is for an enthusiastic, passionate and self-directed individual with exceptional communication and organizational skills. This position provides infrastructure and capacity building for the whole agency in the areas of data management and informational technology, and supports CWEE's efforts to use data to drive programming and stories.

 

ESSENTIAL RESPONSIBILITIES:

  • Act as a role model to participants through professional dress and workplace conduct.
  • Act as primary point of contact for staff IT needs (network, phone, computer, Internet, etc.), and as primary liaison with outsourced IT firm.
  • Act as agency resource on CiviCore database, leading data efforts and building team capacity to maximize effectiveness.
  • Train, guide and support staff in CiviCore use.
  • Regularly enter participant and partner information in CiviCore quickly and accurately.
  • Setup quality control mechanism to ensure timely, accurate, and updated participant data.
  • Assist participants with troubleshooting CiviCore login issues.
  • Use CiviCore to generate reports and support team efforts in grant writing and reporting.
  • Lead creation of basic dashboards for staff and teams.
  • Establish and maintain effective working relationships with participants and staff in a team environment.

 

REQUIRED QUALIFICATIONS:

  • High school diploma or equivalent. Some higher education strongly preferred.
  • One year administrative experience.
  • Six months database experience.
  • Ability to work in an inclusive environment with diverse, economically disadvantaged populations.
  • Excellent organizational skills and proven ability to juggle multiple tasks and deadlines with attention to detail, in a fast-paced environment.
  • Ability to take direction from supervisor and then work independently to complete tasks.
  • Ability to independently trouble shoot and take appropriate action.
  • Demonstrated initiative and ability to work across teams.
  • Highly accurate and efficient with data entry.
  • Quick-learner.
  • Excellent follow-through on tasks.
  • Exceptional written and oral communication skills.
  • Excellent customer service skills.
  • Reliable and punctual.
  • Flexible and able to problem-solve and innovate solutions.
